At Wine & Dine’m, we love smooth and seamless service. However, this starts with nailing those last final details well before your event.
Here’s what you need to know (and do) to avoid the dreaded last-minute scramble.
Confirm Early, Not Frantically
We recommend confirming final guest numbers, menus and logistics 10–14 days prior to your event. Why? It takes time to order ingredients, book the right team and lock in equipment. Every event is different, leaving little chance that your suppliers will have everything you need simply waiting on hand.
Leaving it too late could result in limited menu flexibility, rushed changes or increased costs. A surefire recipe for stress. Speaking of menu flexibility, in our recent blog “Dietary Details: Why they matter more than you think”, we are not a restaurant. While day-of changes are usually not a problem, even your caterer has limits. We are constrained by the ingredients, equipment and timings that were confirmed before the event.
Final Details Checklist
To stay ahead of the game, ensure the following are locked in by your final confirmation date:
- Final guest count
- Menu selection (including confirmed dietary adjustments)
- Event run sheet and timing
- Delivery or bump-in instructions
- Point of contact onsite
Common Pitfalls (and How to Avoid Them)
- Guest numbers keep changing? Lock in your ‘must-cater-for’ minimum, then give us a final update 7 days out.
- No runsheet? Even a simple email with times and locations helps our team execute better.
- Doubts about the menu? Ask us about arranging a tasting or sample pack, we’re happy to help if time allows.
